Automatic Warehouse Inventory Updates
Overview
Inventory updates automatically in the system when products are manufactured, sold, or received.
In this tutorial, we will:
View a product’s inventory history as it has been received, sold, or manufactured
Manufacture products and view how the inventory automatically updates for the product and its components
Who Can Update Warehouse Inventory?
Users with the “Administrate Legrande System” permission can do anything in the warehouse system. By default, the following user roles have that permission turned on:
- Admin
Viewing a Product’s Inventory History
1. Click “Warehouse 360” > “Warehouse” in the blue side navbar

2. Select any product you would like to view inventory on.
Click on the product you would like to view inventory on.
For this tutorial, we will look at the inventory history for artificial tears.

3. Click on batches to view individual histories
On the product’s page, you can see all batches received for this product.
Click on one of the batches to view its individual history.

4. View batch information
Each batch will have individual details including cost, shipping dates, and how the inventory from that batch has changed.

Used when new inventory has been received into the Warehouse
Products were sold to patients
Products were combined into other products (for example, when 5 sets of artifical tears are combined into 1 set of bagged tears, or when artifical tears are added into a two-eye cataract kit).
These typically happen when someone has made manual adjustments to inventory because:
A different quantity of the product arrived than expected
Someone accidentally typed in the wrong quantity originally
More inventory is found in the warehouse
These typically happen when someone has made manual adjustments to inventory because:
Expired products
Damaged products
Lost products
Automatic Inventory Updates When Manufacturing Products
1. Click “Warehouse 360” > “Warehouse” in the blue side navbar

2. Click on the product you would like to view.
For our example, we will manufacture “Two-Eye Cataract Kits,” which are comprised of “Artificial Tears” and “Eyelid Wipes.”

Of note, we currently have 5,682 artifical tears, 7,521 eyelid wipes, and 90 two-eye cataract kits. We will manufacture 5 two-eye cataract kits and see how the inventory automatically updates for those 3 products.
3. Add a batch to inventory
When you click on the two-eye cataract kit, you will see the details page. Click “+ Add Batch.”

Note that this page shows that a singular two-eye cataract kit contains 5 artificial tears and 1 eyelid wipe. When we manufacture 5 of these kits, the inventory for these products will automatically adjust in the system.
4. Fill out fields in the pop-up
This pop-up menu will appear.

Fill out all fields, then click “Submit.”
For our example, we are creating 5 Two-Eye Cataract Kits.

5. Note the updated inventory for Two-Eye Cataract Kits
When you click “Submit,” it will take you back to the product page for Two-Eye Cataract Kit.
You’ll note that the inventory has increased from 90 to 95. You’ll also note that the order we just made is showing in the recent batches list.

6. Note the updated inventory for artificial tears and eyelid wipes in the Warehouse
Navigate back to that page (by clicking back to the “Warehouse” tab in the blue side navbar),
Before manufacturing 5 Two-Eye Cataract Kits, we had 5,682 artificial tears and 7,521 eyelid wipes. In the Warehouse page, we can now see that there are 5,657 artificial tears and 7,516 eyelid wipes. This makes sense, as 5 eyelid wipes and 25 artificial tears would have been used to create 5 Two-Eye Cataract Kits.

Conclusion
If all went according to plan, you can now find each product’s inventory history. You can also now see how inventory automatically updates for a product’s components when it is manufactured.
